CoolSculpting® sales and delivery scripts
Selling a result the patient won't see for twelve weeks
CoolSculpting® is one of the largest single transactions in a medspa, paid up front for a result that arrives up to twelve weeks later. Everything about the sale — and every refund request — comes down to what was said before the money changed hands.
Where the revenue leaks
The leak isn't the treatment. It's the conversation around it.
The consult usually goes well. The trouble starts afterwards.
A patient who paid for four cycles in March and sees nothing by April concludes it hasn't worked. If nobody has told them that's exactly what week four looks like, they call to complain, leave a review, or quietly never come back — and the treatment did work.
So the CoolSculpting® script set spends less effort on closing and more on the expectation architecture around it: what will be visible when, what the photographs are for, and who calls them at week two.
The result window. Clinics that state it explicitly at consult — and again at the desk, and again in the week-two call — see markedly fewer refund conversations than clinics that mention it once.

Phone
Qualifying the caller before you spend a consult on them
Not every caller is a candidate, and the phone is a cheaper place to find out than the treatment room. The script screens for pinchable subcutaneous fat versus a weight-loss goal, sets the price band honestly before the visit, and protects consult slots for people who can actually be treated.
Fixes: consults spent on non-candidates
Consultation
Mapping cycles, photographing properly, and pricing the plan
How to map applicators to the area in front of the patient, explain why the quote is a cycle count rather than a session count, take the baseline photography that will later prove the result, and present the full plan before any discount conversation begins.
Fixes: single-cycle sales on multi-cycle areas
Treatment delivery & safety
Applicator placement, monitoring and post-treatment protocol
Room setup, skin integrity check, gel pad and applicator selection, placement and draw verification, patient monitoring through the cycle, post-cycle massage protocol, and the documented endpoint. Includes contraindication review and the escalation path if anything sits outside expected response.
Fixes: inconsistent technique between providers
Farewell & retail
The twelve-week runway
The desk conversation that sets the whole waiting period: what week four looks like, what week eight looks like, when the comparison photographs happen, and the booked check-in that keeps the patient inside the plan instead of inside their own head.
Fixes: week-four panic, refund requests on treatments that worked
From the script
What it actually sounds like
Every module is written as language a person can say out loud, then built into a Veya AI Coach roleplay so your team practises it before a patient hears it.
Sample exchange — farewell script, setting the twelve-week runway
Provider
Before you go, I want to give you the timeline so nothing surprises you. For the next week or so the area may feel numb, a bit tender, maybe swollen. That's expected. Around week four you'll look in the mirror and think nothing's happening.
Patient
That's reassuring.
Provider
I'd rather tell you now than have you worry then. The change is happening — it's just not visible yet. Most people start seeing it somewhere between week six and week eight, and we take your comparison photographs at week twelve, in the same light and the same position as today. That's the appointment where you'll actually see it.
Patient
And if I don't?
Provider
Then we sit down with both sets of photographs and look at it honestly. Some areas need a second cycle to get where you want — that's a normal part of the plan, not a failure of the first one. I've booked your week-two check-in and your week-twelve review now. Sarah will also call you next Tuesday just to see how you're feeling.
Why this works: every anxious moment in the next twelve weeks is pre-labelled as normal, and two appointments plus a phone call are booked before the patient leaves. A patient with three scheduled touchpoints does not become a refund request.
Treatment delivery & safety
What the delivery script covers
Published in full, because consistency between providers is what the patient is actually paying for. Device parameters always follow the manufacturer's instructions for use and your medical director's written protocol — this module teaches the reasoning, the sequence and the documentation discipline around them.
- Pre-treatmentConsent confirmed, contraindications reviewed, weight and measurements recorded, baseline photography in fixed lighting and marked positions.
- Skin checkFull inspection of the treatment area for integrity, lesions, hernia, scarring or prior surgery affecting tissue draw. Anything unexpected escalates before the applicator goes on.
- Applicator selectionMatched to tissue volume and contour per the manufacturer's current instructions for use. The module teaches the selection logic; device parameters always follow the manufacturer's IFU and your medical director's protocol.
- Placement & drawMarking, gel pad application with full coverage and no gaps, applicator seating, and verification that tissue draw is even before the cycle starts.
- During cyclePatient comfort checks at defined intervals, call bell within reach, documented observation points, and the criteria for stopping early.
- Post-cycleManual massage protocol immediately on removal, expected tissue appearance, sensory changes explained to the patient in advance, and documentation of the endpoint.
- EscalationDefined signs that require clinician review, who to call, and the timeframe. This is written into the script so a new provider never has to improvise it.
